Automated Order Processing at Scale
How we eliminated manual order entry and inventory sync errors for an online retailer processing 500+ orders daily across 3 platforms.
Before
After
The Problem
The retailer's team manually entered orders from three sales platforms into their fulfillment system, taking an average of 45 minutes per order batch. Cross-platform inventory sync was done twice daily, causing overselling and stockouts.
Customer service was overwhelmed with order status inquiries and return requests, requiring 8 full-time staff to manage the workload.
Our Approach
We built an automated order routing system that captures orders from all platforms in real-time, validates them, and pushes them directly to fulfillment. Inventory sync was replaced with a real-time engine that updates stock levels across all channels within seconds.
An AI customer service agent was deployed to handle order tracking, return processing, and common questions, escalating only complex cases to human agents.
Deliverables
- Multi-platform order automation with validation and error handling
- Real-time inventory synchronization engine
- AI customer service agent with return processing
- Analytics dashboard with order metrics and bottleneck detection
Results
Order processing time dropped from 45 minutes to 3 minutes per batch -- 93% faster. Error rates fell from 12% to 0.5%, virtually eliminating costly corrections and customer complaints.
The team was reduced from 8 to 2 staff members, with the remaining team focusing on strategic growth instead of manual data entry.
